If you contact our customer service team, reach out to your Journey Provider through our platform, or communicate with us via other means (such as social media or chatbots), we'll collect information from those interactions as well. This applies whether you're providing feedback or seeking assistance with our services.
We may invite you to write reviews to help inform others about your experiences during your Journey. When you submit a review on the guideit platform, we'll collect the information you've included, along with your first name and any avatar you choose to display.
There are other situations where you might provide us with information. For example, if you're browsing our platform on a mobile device, you can choose to allow guideit access to your current location or certain contact details. This helps us offer you the best possible service by, for instance, displaying city guides, suggesting nearby activities or attractions, or making other personalized recommendations.

In unfortunate circumstances where we receive a complaint about you from a Journey Provider—for instance, in cases of misconduct—we may collect information about you. If there are concerns about integrity or safety incidents involving our guests, partners, or guideit itself, we may gather information from publicly available sources to prevent or detect harm. Some of this information may include special categories of personal data.
Another way we might receive data about you is through communication services integrated into our platform. These services allow you to contact the Journey Provider you've booked with to discuss your Journey. In some cases, we receive metadata about these communications, such as your identity, where you contacted from, and the date and duration of the interaction.

If you link your guideit user account to your social media account, this may result in data exchanges between guideit and the social media provider. You always have the option to choose not to share this data.
Journey Providers may also share information about you with guideit. This could occur if you have customer service inquiries about a pending Journey Booking or if disputes or other issues arise related to a Journey Booking.

In some cases, this may also involve processing your personal data to facilitate online check-in with the Journey Provider or handling any necessary deposits.
  • B.   Customer Service: Our customer support team is available, refer to working hours, to assist you from our local offices. Sharing relevant details like your booking information or account details with our customer service staff enables us to respond promptly when you need assistance.   • C.   Account Management: Users can create an account on our website or apps. We use the information you provide to manage this account, allowing you to perform several useful actions. You can manage your Journey Bookings, access special offers, make future bookings more easily, and adjust your personal settings.
    Managing your personal settings lets you save and share lists, upload photos, view previously searched Journey Services, and check other activity-related information you've provided. You can also see any reviews you've written.
    If you choose, you can create a public profile under your first name or a screen name you select. If you're logged into your account and wish to create a business account (guide), we may use your name and email address to pre-fill the sign-up form.
    If you have a guideit for Business account, you can also save contact details, manage business bookings.

    • Assisting with Incomplete Bookings: you begin a Journey search or start the booking process on our platform but do not complete it, we may reach out to you to encourage you to continue. We believe this additional service is beneficial to you, as it allows you to resume where you left off without the need to search for a Journey Provider again or re-enter your booking details.
    • Feedback and Reviews: After you use our products and services, we may send you a survey or invite you to provide feedback about your experience with guideit or the Journey Provider. Your opinions are valuable to us and help enhance our services for all users.
    • Booking-Related Communications: We may also send you other information related to your Journey Bookings, such as details on how to contact guideit if you need assistance during your travels, and other information we believe might help you plan or enhance your Journey. Additionally, we might send you materials concerning upcoming Journey Bookings or summaries of previous bookings you've made through guideit.
    • Administrative Messages: Even if you don't have an upcoming Journey, we may still need to send you important administrative messages, such as security alerts or other essential notifications.
    • Notices of Misconduct: In the event of any inappropriate behaviour or misconduct, we may issue you a notice or warning.

    If you have a guideit account, you can choose to display a screen name alongside your reviews instead of your real name. You can set up or change your screen name in your account settings.
    By submitting a review, you agree that guideit may display it as outlined in our Terms and Conditions. This means your review could appear on platforms such as the relevant Journey Provider's information page on our website, within our mobile apps, on our social media accounts, or even on the online platforms of the Journey Provider or our business partners. The goal is to inform other users about the quality of the Journey Service you experienced, the activities you participated in, or any other insights you choose to share.
  • J.   How we monitor your calls: When you call our customer service team, guideit may use an automated system to detect your telephone number and match it with your existing Journey. This helps save time for both you and our customer service representatives. However, our staff may still ask for additional authentication to ensure your booking details remain secure and confidential.
    When you contact our customer service team, your calls may be monitored live or recorded for quality assurance and training purposes. These recordings may also be utilized to address complaints, resolve legal issues, and detect or prevent fraudulent activities.
    We do not record all telephone conversations. If a call is recorded, the recording is retained only for a limited time before being automatically deleted. However, if it is necessary to keep the recording for fraud investigation or legal purposes, we may retain it for a longer period.   • K.   Building trust and safety through our service: Our goal is to create a secure and reliable environment for you, your companions, our business partners, Journey Providers, and guideit itself. To achieve this, we continuously monitor and analyse certain personal data to detect and prevent fraud and other illegal or undesirable activities. During this process, we may inadvertently encounter special categories of personal data.
    We also use personal data for risk assessment and security purposes. In such cases, we may need to pause or place certain Journeys on hold until our assessment is complete. To detect and prevent fraud and harm, and to protect our users, business partners, Journey Providers, and guideit, we may utilize your contact information, booking details, reviews, account information, browsing data, location data, communication records, or other information that you or others have provided to guideit. If we have concerns about serious misconduct, we may decide to cancel your upcoming Journeys or decline future bookings through our app.
  • L.   Legal issues: There are times when we may need to utilize your personal information to handle and resolve legal claims or disputes, comply with regulatory investigations and obligations, enforce the guideit online booking service terms of use, or adhere to lawful requests from law enforcement agencies.
    Providing your personal data to guideit is voluntary. However, we may only be able to offer certain services if we can collect essential personal information. For instance, we cannot process your Journey without your name and contact details.

Legal Foundations for Processing Your Personal Data as outlined above

Where relevant, for purposes A and B, guideit processes your personal data on the legal basis that it is required for the performance of a contract. This is necessary to complete and manage your Journey.
If you do not provide the necessary personal information, guideit cannot finalize your Journey or offer customer support. For purposes C through K, guideit relies on its own legitimate interests (or those of third parties) to provide and improve our services and to prevent fraud and other illegal activities, as detailed under purposes C to K. Additionally, in the unlikely event that guideit processes special categories of personal data in the context of purpose K, we rely, where applicable, on the fact that such processing relates to personal data you have made publicly available.
When processing your personal data to fulfill guideit's or a third party's legitimate interests, guideit ensures that your rights and interests in protecting your personal data are carefully balanced against our own or those of the third party.   • 1. When Booking with a Journey Provider: To complete your Journey Booking, we transfer the necessary reservation details to the Journey Provider you have selected. This is a fundamental part of the services we offer to ensure your booking is successfully processed.
    Depending on the specific Journey and the Journey Provider involved, the information we share may include your name, contact and payment details, the names of individuals accompanying you, and any additional information or preferences you provided when booking your Journey.
    We may also disclose supplementary historical information about you to the Journey Provider. This can include whether you have previously booked with them, the total number of bookings you have completed through guideit, confirmation that no misconduct has been reported against you, the percentage of bookings you have cancelled in the past, and whether you have provided reviews for past bookings.
    If you have any questions regarding your Journey, we may reach out to the Journey Provider to address your request. Unless payment is completed during the booking process through the guideit website, we will forward your credit card details to the selected Journey Provider for further processing, provided that you have supplied us with those details.
    In the event of claims or disputes related to your Journey, we may share your contact information and other relevant details about the booking process with the Journey Provider to help resolve the issue. This may include, but is not limited to, your email address and a copy of your reservation confirmation to verify that a booking was made or to clarify reasons for any cancellations.
  • 2. Third-Party Service Providers: We engage service providers outside of the guideit corporate group to assist us in delivering our services. These include:
    • Customer support
    • Market research
    • Fraud detection and prevention (including anti-fraud screening)
    • Insurance claims
    • Payment
    We collaborate with third-party providers to process payments, manage chargebacks, and handle billing collection services. When a chargeback is requested for your Journey —either by you or by the holder of the credit card used for your reservation—we need to share specific reservation details with the payment service provider and the relevant financial institution to facilitate the chargeback process. This may also include providing a copy of your reservation confirmation or the IP address used to make your booking. Additionally, we may share information with relevant financial institutions if we determine it is strictly necessary for fraud detection and prevention purposes.
    If a chargeback is initiated for your Journey—whether by you or by the holder of the credit card used for the reservation—we are required to share specific reservation details with the payment service provider and the relevant financial institution to facilitate the chargeback process. This information may include a copy of your reservation confirmation, and the IP address used when making your booking.
    Additionally, we may disclose information to relevant financial institutions when it is strictly necessary for the detection and prevention of fraud and other illicit activities.
    • Marketing Services We share your personal data with advertising partners, including your email address, IP address, and telephone number, to promote guideit's services through third parties. This helps ensure that relevant advertisements are displayed to the appropriate audience. We utilize methods such as hashing to match your email address, IP address, and/or telephone number with existing customer databases, preventing this data from being used for unrelated purposes.     • Advertising Partners We collaborate with advertising partners, including metasearch providers, to enable you to compare our offers with those from other Online Travel Agencies (OTAs). guideit provides you and your Journey Providers with multiple channels to communicate regarding activity services and existing Journey Bookings, directing all interactions through the guideit platform. This setup also allows both you and your Journey Provider to contact guideit with any questions about your Journey through our website, mobile apps, and other available communication channels.
guideit may access your communications and utilize automated systems to review, scan, and analyze them for the following purposes:
